The One Question We Ask Before Building Any AI System For You

Before we write a single line of anything, we ask one question about the process you want automated. Does this need to happen the same way every time, or does it need an AI that can think through the situation itself. Everything else follows from that answer.

Fixed steps, for anything that has to be right

Invoicing, compliance filings, approval chains. For work like this, we lock the sequence down: the AI only steps in to make a judgment call at specific points, and the rest runs the same way every time. Because the sequence never changes on its own, you can trace exactly what happened and why, every single time. That matters when reports, money, or approvals are on the line.

AI-driven steps, for anything that can't be scripted in advance

Customer conversations, one-off investigations, fixing something that broke. Here, there's no fixed script to write, because every situation is a little different. We let the AI plan its own path within firm boundaries, figuring out what to do next as the conversation or the problem actually unfolds.

Getting this backwards is where AI projects fail

Force a rigid, scripted process onto a customer conversation and it feels robotic within the first two messages. Let an AI freely decide its own path through a compliance-critical process and you end up with something you can't fully explain after the fact. Most of the AI projects that disappoint people made this exact mismatch, not a bad model, the wrong kind of automation for the job.

Most real businesses need both, working together

A customer message usually starts out conversational, an AI handling the back and forth naturally. But the moment it turns into a refund or a policy exception, it should drop into a fixed, auditable process instead. We design where that handoff happens as carefully as we design either half on its own.

What to ask any AI vendor

Ask which parts of your process are fixed and why, and which parts they've deliberately left to the AI's judgment and why. A vendor who applies the same approach to every task hasn't actually thought about your business. They've applied a template.
